Main Features of intraComm

New Ideas in Communication - The Concept of Notice
Normally, e-mail messages are copied to each of the mail box of the recipients. Besides, the sender will have an original copy in his/her sent box. Thus, there are multiple copies of the same e-mail message. However, intraComm adopts a new concept of messaging: The Concept of Notice. In other words, Messages within intraComm are shared among designated recipients; like posting a notice on the board. In other words, only one copy of the Message will be stored.

Data Security
Although data in intraComm is in the Cloud, it is secure during transmission and even inside ones’ computer. Data will be 128-bitencrypted during transmission between the server and the clients’ computers. Data will also be encrypted in ones’ computer and during offline mode. Even the Users copy the encrypted data from one computer to another and use the intraComm client to access it, this act will be forbidden as a Hardware lock is placed during encryption. In summary, data in intraComm is protected in the following aspects:
  • The communication between database and server, server and workstation
  • Multi-lanuage and timezone support
  • Hierarchy structure of Messages and organization
  • Communication among Users
  • Message management system including sending and receiving external emails
  • Uploading and downloading files in effective way
  • Import/Export: Import files from workstation/Export Messages to workstation as a copy of backup
  • Hardware lock - ONLY allow designated workstations running intraComm, likes build-in firewall
  • Offline mode. All offline information is encrypted

Server in Cloud
The database of intraComm is located in the Amazon Elastic Compute Cloud (Amazon EC2). The server is kept safely in the data center and well protected by the service provider. Clients do not have to worry about security and stability problems.

File Management
intraComm can replace a file server as any type of Messages supports attachments. Users can upload attachments under the Messages; there attachments can be updated if there are any modifications afterwards.

Messages in Hand
Important Messages and Reminders can be found inside Today Note; even the User changed to another view, Today Note is just on one's right hand side. Moreover, intraComm has a powerful search panel for Users to obtain the resources they want.

Personal Organizer
Every User in intraComm have their own personal Message board. Users can write their own reminders or notes on it and no one else can see it. Beside, intraComm has a calendar function called Monthly Note. Users can create Calendar-type Message on the Monthly Note to remind themselves or even their teammate(s).

Messages in Tree Structure
intraComm allows Users to drag and drop existing Messages into a current-editing Message; in other words, a Message can contains other Messages like a folder.

Team Spirit and Collaboration
intraComm encourage team spirit within your organization by providing the following features:
  • Sharing of Resources
    • Contacts, Recipient Groups etc. can be shared among designated Users
    • Different kinds of Messages are indeed shared among Users
  • Message Reading Status Tracking
    • Message Author and Recipients can see each other's Reading Status of the Message; this enables the transparancy of the company
  • Collaboration of Ideas
    • intraComm supports Wiki-type Message which allows muliple Users to compose and edit the Message; it can serve as  internal documentations or even a sharing platform
  • Facilitating New Members
    • When a new User joins the intraComm system, if this User is set to a particular Recipient Group, all Messages previously shared to this Recipient Group will be shared to this new User (this function is called Notice Record)

International Features
intraComm supports multiple languages (English, Traditional Chinese and Simplified Chinese) and may expand to support more languages in the future. Besides, intraCSupport different time zones: Time stamps of Messages are displayed according to the time zone of the viewer

Other Features

Organization Structure and Hierarchy
After setting accounts for all staff in the organization, the structure of the company can be revealed in intraComm; such as the organizational hierarchy, names and positions of the staff. intraComm even supports Users' rights settings.

External E-mails
Messages in intraComm is a new form of e-mail; with more functions supported. Besides, intraComm can help to manage external e-mail accounts of the User.

Instant Communication
Like Yahoo Mail and Gmail, intraComm also supports instant messaging (IM). IM in intraComm is based on a Message and will be automatically saved.

Offline Mode
Messages and Attachments are saved in our local computer after reading (encrypted); Users can still read the context even the Internet connection is lost.

Enables Different Types of Messages
intraComm enables different types of Messages other then Notice (the most common type of Message like e-mail):
  • Event
    • reminds the Sender and the Recipients for events held in the company
    • the User can send out series of Event in a few clicks
    • the User and the Recipients will receive a reminder on the predetermined date
  • Task
    • a job assigned to the recipients to finish before the deadline
    • the User can set a deadline for the task
    • there is a clear task flow where the Sender and the Recipients can know the status of the Task
  • wiki
    • allows multiple creators and editors
  • Project
    • a Message type that can include Events, Tasks and Notices
  • Calendar
    • states reminders on a calendar (Monthly Note)
  • etc.

Posting Message According to Different Situations
intraComm allows Users to post Messages according to different situations:
  • Scheduled Post
    • the system will post the Message automatically on the scheduled date
  • Event-triggered Post
    • users can set an event such as completion of Task for triggering the System to automatically post the Message
  • Delegated Post
    • users can write a Message for other User to post, e.g. a manager can ask his secretary to write a Message and post by himself

Features to Enhance the Efficiency of the Knowledge-Based System
Some features are provided in order to make the data stored in the intraComm system to become our organizations' knowledge database:
  • Links
    • They are like file shortcut in Windows. Users can move or link the Message by drag and drop, an easy way to classifying our Messages
  • Enhanced Hyperlinks
    • we can use hyperlink to link all internal resources e.g. Messages, Attachments, Users and Contacts etc.
  • Amendments on Posted Messages
    • intraComm allows posted Messages to be amended, including the Subject, Content and Attachments etc; the original information can be traced back as well
    • once the Attachments are modified, Users will be reminded to upload to replace the old ones
    • Once amended, Messages will be marked as New to all designated Users. This is extremely convenient when handling information that needs frequent updates such as proposals in drafting phase
    • Apart from amending, a group of Users can directly modify the Content of Message in special type of Message: [wiki] and [Folder]

  • Tags
    • many e-mail systems have the tag function, but what's in intraComm is more powerful
      • Private Tags and Common Tags: Messages with a Private Tag can be seen by the User only; while Messages with a Common Tag can be seen by all readers
      • System Tags: intraComm has defined some tags; for example, ★ means important, for Message with the ★ tag will automatically be displayed at the Today Note shown after a User login intraComm
      • User-defined Tags: Besides the System Tags, Users can define their own Tags using any symbols, characters and even words with their own meanings
  • Search Tools
    • Messages can be searched according to different fields such as the Subject, Content, Author, Reader, Keyword, Attachment and Tags etc.
